Managing your team

Managing your team

Voris is built around organizations. Each organization has its own sites, its own settings, and its own team. You can invite up to 20 members into a single organization.

This page covers how to invite people, what each role can do, and how to change someone’s access.

Where team management lives

  1. Click the organization switcher at the top-left of the sidebar.
  2. Choose Organization settings.
  3. Click the Team tab.

You will see a list of everyone in your organization along with their role.

The four roles

When you invite someone, you pick one of four roles. You can change the role later at any time (with one exception — see Owner safeguards below).

Owner

Full control over everything in the organization. Owners can:

  • Invite and remove any member, including other owners.
  • Change anyone’s role.
  • Edit organization settings.
  • Edit, soft-delete, or manage any site.
  • Handle billing (when billing ships in a future phase).
  • Promote another member to owner.

You are automatically made the owner the first time you create an organization. Most teams keep two owners for safety.

Admin

Like an owner, but without the ability to promote someone to owner, change owners, or remove owners.

Admins can:

  • Invite and remove members (except owners).
  • Change the role of non-owners.
  • Edit all site settings.
  • Manage site-level toggles and tokens.

Admins cannot:

  • Promote someone to owner.
  • Demote or remove an owner.

Use admin for a trusted teammate who should be able to manage day-to-day settings but not change who owns the business.

Member

Can create sites and use the product.

Members can:

  • See all sites in the organization.
  • Create new sites.
  • View dashboards and export CSVs.

Members cannot:

  • Invite other members.
  • Change anyone’s role.
  • Edit site settings (other than their own sites — settings access is shared with admins and owners).

Use member for people on your team who need to add sites and use the product.

Viewer

Read-only access to dashboards.

Viewers can:

  • See sites in the organization.
  • Open dashboards and read the numbers.

Viewers cannot:

  • Create new sites.
  • Edit anything.
  • Invite members.

Use viewer for clients, executives, or freelancers who just want to look at numbers without changing anything.

Inviting a team member

  1. Go to Organization settings and the Team tab.
  2. Click Invite member.
  3. Enter the person’s email address.
  4. Pick a role (owner, admin, member, or viewer).
  5. Click Send invite.

A note on invites

The invitee needs a Voris account. If they already have one (for example, they use Voris at another company), they will be added instantly and see your organization when they switch organizations next.

If they do not have an account, you will see:

No account found for this email. The user must sign up first.

In that case, ask them to sign up via the regular magic link login first, then repeat the invite.

Changing someone’s role

  1. Find them in the team list.
  2. Click Change role.
  3. Pick the new role.

The role updates immediately and is visible to other team members.

Removing a member

  1. Find them in the team list.

  2. Click Remove member.

  3. Confirm. You will see a confirmation message like:

Are you sure you want to remove {name} from this organization?

The removed member loses access immediately. Their own account still exists, but they cannot see your sites or settings anymore.

Owner safeguards

Two rules exist to keep organizations from getting locked out:

You cannot demote the last owner

If only one owner exists, you cannot change their role to anything else. Promote someone else to owner first, then demote the original owner.

Only owners can promote someone to owner

Admins cannot create new owners. This prevents an admin from taking over an organization. If you need to promote someone, an existing owner must do it.

If you try to do either of these as an admin, you will see:

Cannot remove or demote the last owner

Audit logging

Every member change — invites, removals, role changes — is recorded. The audit log is not yet visible in the UI (that ships in a later phase), but the record is kept so a future version of the app can show you a history of every change.

Limits

  • 20 members per organization.
  • 10 sites per organization.

These are the same regardless of plan during Phase 1b. If you hit the limit, you will see a notice like:

Maximum of 20 members per organization
